Available subentries<\/h2>\n\n<p class=\"wp-block-paragraph\">The &#8221; <strong>My Accounts<\/strong> &#8221; section consists of 4 sub-entries:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Overview<\/strong><\/li>\n\n\n\n<li><strong>Transactions<\/strong> (including the &#8221; <em>Upcoming Transactions<\/em>&#8221; tab)<\/li>\n\n\n\n<li><strong>Balance<\/strong><\/li>\n\n\n\n<li><strong>Account Statements<\/strong><\/li>\n<\/ul>\n\n<pre class=\"wp-block-preformatted\">\u2139\ufe0f Depending on your profile or settings, access to certain sub-entries may vary. The functional logic remains the same. <\/pre>\n\n<h2 class=\"wp-block-heading\">2. Overview<\/h2>\n\n<p class=\"wp-block-paragraph\">The <strong>&#8220;Overview&#8221;<\/strong> sub-section allows you to quickly identify the selected account and get an immediate snapshot of its financial status.<\/p>\n\n<h3 class=\"wp-block-heading\">2.1. Account Information<\/h3>\n\n<p class=\"wp-block-paragraph\">There you&#8217;ll find, among other things, key account information:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>Account <strong>owner<\/strong> <\/li>\n\n\n\n<li><strong>IBAN<\/strong> and <strong>BIC<\/strong><\/li>\n\n\n\n<li><strong>Currency<\/strong><\/li>\n\n\n\n<li><strong>Account type<\/strong><\/li>\n\n\n\n<li>Account <strong>Name<\/strong> (a useful filter if multiple accounts are linked to your Merchant Profile)<\/li>\n<\/ul>\n\n<h3 class=\"wp-block-heading\">2.2. Real-Time Balance<\/h3>\n\n<p class=\"wp-block-paragraph\">The <strong>&#8220;Real-Time Balance<\/strong> &#8221; section provides an instant overview of the balance, with a distinction that is useful for day-to-day management:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Available Funds<\/strong> (Amount immediately available in your account)<\/li>\n\n\n\n<li><strong>Scheduled Transactions<\/strong> (Scheduled Payouts and R-Transactions Scheduled for a Future Date)<\/li>\n<\/ul>\n\n<pre class=\"wp-block-preformatted\">\u2139\ufe0f Depending on your settings, a \"reserve account balance\" may also be displayed.<\/pre>\n\n<h3 class=\"wp-block-heading\">2.3. Changes Over Time<\/h3>\n\n<p class=\"wp-block-paragraph\">A graph allows you to observe trends over a period of time by combining:<\/p>\n\n<ul class=\"wp-block-list\">\n<li>the <strong>balance<\/strong><\/li>\n\n\n\n<li><strong>Upcoming Operations<\/strong> (Forecast)<\/li>\n<\/ul>\n\n<h2 class=\"wp-block-heading\">3. Operations<\/h2>\n\n<p class=\"wp-block-paragraph\">The <strong>&#8220;Transactions&#8221;<\/strong> sub-tab displays a list of transactions affecting the account, with a <strong>&#8220;Upcoming Transactions<\/strong> &#8221; tab for transactions that are expected but have not yet been processed. This is the main view for <strong>account reconciliation<\/strong> and <strong>generating exports<\/strong>. <\/p>\n\n<h3 class=\"wp-block-heading\">3.1. Two Date Concepts You Should Know<\/h3>\n\n<p class=\"wp-block-paragraph\">To ensure reliable accounting data, the view generally distinguishes between:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Value date<\/strong>: the date on which a transaction is considered to have taken effect for financial and accounting purposes (widely used for reconciliation and financial closings).<\/li>\n\n\n\n<li><strong>Transaction Date<\/strong>: Date and time of the event (useful for investigating a timeline or cross-referencing a history).<\/li>\n<\/ul>\n\n<pre class=\"wp-block-preformatted\">\u2139\ufe0f Recommendation: For closing or reconciliation, it\u2019s best to use the \u201cvalue date.\u201d For an investigation, the \u201ctransaction date\u201d is often more meaningful. <\/pre>\n\n<h3 class=\"wp-block-heading\">3.2. Search for a transaction<\/h3>\n\n<p class=\"wp-block-paragraph\">The search engine allows you to quickly find a transaction based on an accounting criterion, a reference, or an identifier.<\/p>\n\n<p class=\"wp-block-paragraph\"><strong>Essential Filters<\/strong><\/p>\n\n<figure class=\"wp-block-table\"><table><thead><tr><th>Filter<\/th><th>What is it used for?<\/th><th>Key Features \/ Best Practices<\/th><\/tr><\/thead><tbody><tr><td><strong>Account<\/strong><\/td><td>Limit the display to transactions for a specific account.<\/td><td>This is essential if you have multiple accounts linked to your profile. Start by selecting the account before applying other filters. <\/td><\/tr><tr><td><strong>Period (value date)<\/strong><\/td><td>Filter transactions by a reference accounting period.<\/td><td>Working basis for filtering and matching. Recommended: Always specify a time period before adding more specific criteria (reference, amount, etc.). <\/td><\/tr><tr><td><strong>Amount<\/strong><\/td><td>Search for one or more transactions that match a specific amount.<\/td><td>Combine this with &#8221; <strong>Account<\/strong> &#8221; and &#8221; <strong>Period<\/strong> &#8221; to avoid getting too many results, especially if you have a large number of transactions for the same amount.<\/td><\/tr><tr><td><strong>Reference<\/strong><\/td><td>Find a transaction using your custom business reference (order, invoice, internal ID, etc.).<\/td><td>This is very useful if your teams use a shared ID between your system and CentralPay. It can also be used to group multiple lines related to the same event, depending on your settings. <\/td><\/tr><tr><td><strong>Operation ID<\/strong><\/td><td>Search for a transaction using its unique CentralPay ID.<\/td><td>The most precise filter: Each <em>Operation ID<\/em> corresponds to a single row. Best used for support or audit investigations when the ID is known. <\/td><\/tr><tr><td><strong>Wording<\/strong><\/td><td>Search for a transaction by its descriptive title (keyword search).<\/td><td>Useful when you don&#8217;t have an identifier (Operation ID, reference). Handy for finding an operation \u201cbased on what&#8217;s visible\u201d in the list. <\/td><\/tr><tr><td><strong>Type<\/strong><\/td><td>Identify a category of transactions (credit cards, Bank transfers, direct debits, refunds, Chargebacks, etc.).<\/td><td>Ideal for analyzing a specific scope (e.g., only incoming bank transfers) or preparing a targeted export before reconciliation.<\/td><\/tr><\/tbody><\/table><\/figure>\n\n<h4 class=\"wp-block-heading\">Advanced Filters<\/h4>\n\n<p class=\"wp-block-paragraph\">Advanced filters are useful for investigations (support\/audit), analysis of payouts, and accounting exports. The table below summarizes their purpose and features. <\/p>\n\n<figure class=\"wp-block-table\"><table><thead><tr><th>Filter<\/th><th>What is it used for?<\/th><th>Key Features \/ Best Practices<\/th><\/tr><\/thead><tbody><tr><td><strong>Nature<\/strong><\/td><td>Identify the accounting and functional origin of a transaction in order to quickly distinguish between <strong>Expense<\/strong>, <strong>Fund<\/strong>, and <strong>Management<\/strong> journal entries.<\/td><td>\n          <strong>Fees<\/strong>: Transactions related to costs and commissions debited or credited to the account, associated with the use of services (e.g., transaction fees, commissions, refunds, or fee adjustments).<br\/>        <strong>Funds<\/strong>: Transactions corresponding to cash flows entering or leaving the account as part of its activity (e.g., customer transactions, Payouts, refunds).<br\/>        <strong>Management<\/strong>: Internal CentralPay transactions carried out to adjust or secure the account balance (e.g., reserve transfers, cash pledges, technical adjustments, or adjusting entries).\n        <\/td><\/tr><tr><td><strong>Source ID<\/strong><\/td><td>Group related transactions together (e.g., a Card Authorization, the associated transaction, and its Refund) in order to analyze the entire customer journey.<\/td><td>\n  The <em>Source ID<\/em> is an identifier used to group related transactions.<br\/> You can either:<br\/> \u2022 click <strong>\u201cFilter by this Source ID\u201d<\/strong> from a transaction in the results list;<br\/> \u2022 or enter the <em>Source ID<\/em> in the search bar to display all transactions associated with that identifier.\n        <\/td><\/tr><tr><td><strong>Payout Number<\/strong><\/td><td>View all transactions related to a payout and analyze their breakdown (funds, fees, adjustments, etc.).<\/td><td>\n  This filter groups together all transactions associated with a single Payout, making it easier to understand the details and breakdown of that Payout.<br\/><br\/>          <strong>How do I get the payout number?<\/strong><br\/> \u2022 Search for the<strong>Payout<\/strong> transaction, open its details (action button), then click <strong>\u201cView Payout transactions<\/strong> \u201d: the portal automatically applies the filter and displays the relevant transactions.<br\/> \u2022 Alternatively, you can derive it from the Payout <strong>reference<\/strong>: the last digits correspond to the payout number (e.g., <code>PAYOUT-7usge67-153<\/code> \u2192 payout number = <code>153<\/code>).<br\/><br\/>          <strong>Please note<\/strong>: Details of a payout are available only when <strong>automatic payouts<\/strong> are enabled. The first automatic payout may not display the expected details (due to calculation method calibration). \n        <\/td><\/tr><tr><td><strong>Third Party<\/strong><br\/><em>(Third Party \/ Third-Party Type \/ Third-Party ID \/ Third Country)<\/em><\/td><td>Filter transactions by the counterparty involved (other than you) to analyze cash flows by party.<\/td><td>A <em>third party<\/em> is any legal entity or individual involved in the transaction <strong>other than you<\/strong> (for example, a customer, CentralPay, another Merchant, an external account, etc.).<br\/>  You can filter by either:<br\/>  \u2022 <strong>By a third party<\/strong>: name of the third party (free-form field); <br\/>  \u2022 <strong>by third-party ID<\/strong>: the third party&#8217;s CentralPay identifier (e.g., <em>CustomerID<\/em> or <em>MerchantID<\/em>), for a precise search;   <br\/>  \u2022 <strong>By third-party type<\/strong>: one of the following four types: <em>Customer<\/em>, <em>Merchant<\/em>, <em>CentralPay<\/em>, <em>External Account<\/em>;<br\/> \u2022 <strong>By Third-Party Country<\/strong>: the country in which the third party is registered (for example, based on the region where their card was issued if they are a Customer), which can be particularly useful for certain reporting requirements (e.g., VAT filings).   <\/td><\/tr><\/tbody><\/table><\/figure>\n\n<h3 class=\"wp-block-heading\">3.3. Debits and Credits Summary<\/h3>\n\n<p class=\"wp-block-paragraph\">This page provides a summary of <strong>debits<\/strong> and <strong>credits<\/strong> for the filtered period (volume and amount), with the option to break them down by transaction type (expenses, funds, management). This overview allows you to quickly verify the consistency of a period before exporting the data. <\/p>\n\n<h3 class=\"wp-block-heading\">3.4. Custom Accounting Exports<\/h3>\n\n<p class=\"wp-block-paragraph\">From the <strong>Operations<\/strong> view, you can generate exports in <strong>CSV<\/strong>, <strong>Excel<\/strong>, or <strong>JSON<\/strong> formats. The process is simple: <\/p>\n\n<ul class=\"wp-block-list\">\n<li>Set your search criteria (account, time period, useful filters).<\/li>\n\n\n\n<li>Start the search, then click <strong>Export<\/strong>.<\/li>\n\n\n\n<li>You will receive the file via <strong>email<\/strong> and can download it at any time from the Merchant Portal (under &#8221; <strong>Export Files<\/strong>&#8220;).<\/li>\n<\/ul>\n\n<div class=\"wp-block-buttons is-layout-flex wp-block-buttons-is-layout-flex\">\n<div class=\"wp-block-button is-style-fill\"><a class=\"wp-block-button__link has-small-font-size has-custom-font-size wp-element-button\" href=\"https:\/\/docs.centralpay.com\/en\/documentation\/automations-integrations-and-exports\/accounting-exports\/\" target=\"_blank\" rel=\"noreferrer noopener\">See the documentation: Accounting exports and account statements<\/a><\/div>\n<\/div>\n\n<h2 class=\"wp-block-heading\">4. Balance<\/h2>\n\n<p class=\"wp-block-paragraph\">The <strong>&#8220;Balance<\/strong> &#8221; sub-entry provides a <strong>historical<\/strong> view of account balances, organized by <strong>value date<\/strong> (end-of-day view).<\/p>\n\n<p class=\"wp-block-paragraph\">You&#8217;ll usually find the following there:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Closing Balance<\/strong> (End of Day)<\/li>\n\n\n\n<li><strong>Upcoming Transactions<\/strong> (Aggregate of Expected Movements)<\/li>\n\n\n\n<li><strong>Projected balance<\/strong> (balance reflecting future transactions)<\/li>\n<\/ul>\n\n<pre class=\"wp-block-preformatted\">\u2139\ufe0f Use case: to verify a \u201ccurrent\u201d balance (for closing the books, internal control), or to compare an actual balance with a projected balance.<\/pre>\n\n<h2 class=\"wp-block-heading\">5. Account statements<\/h2>\n\n<p class=\"wp-block-paragraph\">The <strong>&#8220;Account Statements<\/strong> &#8221; sub-section provides access to <strong>the official monthly statements<\/strong> for your CentralPay account. These documents serve as the primary records for accounting purposes and as official documentation. <\/p>\n\n<p class=\"wp-block-paragraph\">At the beginning of each month, in addition to the invoice, an account statement is generated and made available in the secure area: <strong>My Accounts &gt; Account Statements.<\/strong><\/p>\n\n<p class=\"wp-block-paragraph\">Two types of statements may be offered:<\/p>\n\n<ul class=\"wp-block-list\">\n<li><strong>Detailed statement<\/strong>: Shows all transactions for the period.<\/li>\n\n\n\n<li><strong>Summary Statement<\/strong>: Groups transactions by day and by transaction type.<\/li>\n<\/ul>\n\n<pre class=\"wp-block-preformatted\">\u26a0\ufe0f If you have a large number of transactions, not all of them may appear on the detailed statement. Common Actions<\/h2>\n\n<h3 class=\"wp-block-heading\">6.1. Monthly Closing<\/h3>\n\n<ol class=\"wp-block-list\">\n<li>Go to &#8221; <strong>Transactions<\/strong>,&#8221; and filter by &#8221; <strong>Account<\/strong> &#8221; and &#8221; <strong>Period&#8221; (value date)<\/strong>.<\/li>\n\n\n\n<li>Review the summary <strong>of debits and credits<\/strong> and the breakdown <strong>by category<\/strong> (expenses, funds, and administration).<\/li>\n\n\n\n<li>Generate an <strong>accounting export<\/strong> (with columns tailored to your reconciliation process).<\/li>\n\n\n\n<li>Or download the <strong>monthly statement<\/strong> directly from &#8221; <strong>Account Statements<\/strong> &#8221; for your records and as an official document (1 statement per account).<\/li>\n<\/ol>\n\n<h3 class=\"wp-block-heading\">6.2. Reconciliation of transactions related to a payout<\/h3>\n\n<ol class=\"wp-block-list\">\n<li>Go to &#8221; <strong>My Accounts&#8221; &gt; &#8221; &#8220;Transactions<\/strong>,&#8221; and, if necessary, select the relevant <strong>account<\/strong> first.<\/li>\n\n\n\n<li>Locate the payout transaction (<strong>PAYOUT<\/strong>), open its details (action button), then click <strong>\u201cView payout transactions<\/strong> \u201d: the Portal automatically applies the <strong>\u201cPayout Number<\/strong> <strong>\u201d<\/strong> filter and displays only the transactions associated with that payout.<\/li>\n\n\n\n<li>Analyze the breakdown of the payout using the <strong>&#8220;Type&#8221;<\/strong> filter to distinguish between the &#8221; <strong>Funds<\/strong>,&#8221; &#8221; <strong>Fees<\/strong>,&#8221; and <strong>&#8220;Management<\/strong> &#8221; (adjustments) lines, then verify that the total amount is correct.<\/li>\n\n\n\n<li>If necessary, generate an <strong>export<\/strong> (CSV \/ Excel \/ JSON) to archive the payout details or perform Integration with your reconciliation.<\/li>\n<\/ol>\n\n<pre class=\"wp-block-preformatted\">\u2139\ufe0f Alternative: The payout number can also be derived from the payout reference (e.g., <code>PAYOUT-7usge67-153<\/code> \u2192 payout number = <code>153<\/code>).<\/pre>\n\n<pre class=\"wp-block-preformatted\">\u26a0\ufe0f Transaction details for a payout are available only when automatic payouts are enabled.
